Customer issue Spending too many selling hours on a confusing and manual process for customer subscription renewals. The current process heavily relied on the account managers to monitor and identify the stages of each customer renewal.
Solution Created an automated process in NetSuite using SuiteFlow. NetSuite identified the customer contract renewal dates and automatically sent Subscription Renewal Email Reminders to the customers, based on time intervals such as 60, 30 and 15 days prior as well as 15 days later if the expiration date passed without a renewal. This ensures that the appropriate level of contact was made prior to the renewal using an email template and forms, without the intervention of the Sales Rep. Overall, the automation resulted in significant time savings for the sales team which allowed them to focus on closing more sales.

Customer issue Inefficient tracking process for inventory that is shipped in containers from overseas. The current process is manual and requires a significant amount of human interaction as well as a lot of rework of numbers after the receipt to ensure that all information is properly entered and accounted for in NetSuite.
Solution Created a new automated process in NetSuite for the PO receipt, transfer order creation and Billing. The new automated process now requires minimal human interaction and resulted in saving of 10-12 man hours (or more depending on volume) for the customer every week. As well as a significant reduction in the opportunity for human error to skew the numbers. This new solution also removed a large obstacle to the companies scalability allowing the sales volume to grow without the need for additional staff and training.

Problem Sales Reps attending Tradeshows lacked the ability to quickly build estimates in NetSuite for attendees stopping by their both. This created quite a bit of disconnect and required heavy follow up after the event. With the delay in getting back to some people, some sales were lost because of a quicker turn around option.
Solution BMI created a simple/easy to use interface that was synchronized with NetSuite, but allowed Sales to create on the fly estimates in minutes. Sales were happier with the solution as were the customers. The product is now being used in other parts of the business to help expedite quote-> Sales order processing.

Problem Customer was spending hours updating their vendors with Pipeline/Sales data manually because the customer used NetSuite and their own forecast methodology and the Vendor uses SalesForce with a different forecasting methodology. The process created delays in getting data to the vendor causing them to lose deals to competitors, created errors in data entry from one system to another. Process was taking 1-2 people 10-15hrs/week to manage.

Problem A customer dealing with insurance companies is required to be HIPAA compliant. Since there’s no out of the box NetSuite solution available they asked if BMI could help.
Possible Solutions
BMI researched HIPAA compliance to determine the requirements and what kind of solutions would be possible. We’ve determined a couple potential solutions. The first would include the use of NetSuite and our CEDAR platform along with a double encryption data protection system. This scenario would build a solution where the customer would protected in such a way that if anyone “hacked” either database they would never have the ability to un-encrypt a single point since there’s no reference to the secondary encryption. The second option is a bit simpler and would only encrypt portions of the data in NetSuite. Both solutions would allow controls at the user role level. Expected completion time by June 2016.
Problem This customer had a tight deadline for the launch of an ecommerce web site involving multiple disparate systems and partners. They were using NetSuite for accounting and inventory and Salesforce for price control, and they needed to provide data from both systems to their ecommerce partner Demandware.
Solution
The solution that BMI provided used the CEDAR Platform to connect the systems and a Windows application to control the transfer of data between systems. The Item, Inventory, and Vendor data is collected from NetSuite and the list and sale price data is collected from Salesforce. The data is then formatted to the Demandware XML spec and the Product, Inventory, and Pricebook files are sent via SFTP to a remote Demandware server. The solution was packaged in to a Windows Service which runs on one of the client’s Windows Servers, and it polls, formats, and transmits the data on a customizable schedule.
Problem Inefficient approval process that lacked control and flexibility. The customer’s approval process was a complex approval hierarchy and needed additional enhancements beyond the offerings in NetSuite's "out-of-the-box" sequential approval process.
Solution
Created an automated process using SuiteFlow to allow multiple levels of approval/rejection before the final approval by the Accounting Manager. Using SuiteFlow, each step of the approval hierarchy;Employee > Supervisor> Accounting Staff> Accounting Manager, allowed the ability to approve the expense and make it available for the next level of approval, or reject the expense and send it back to the previous approver to edit and correct.

This automated expense approval process ensured a more expedited approval of expense reports and conditionalized routing along multiple levels of approvers, resulting in significant time saving for the Accounting Staff.
